Rental equipment must match the approved method

MiniCapt Mobile can provide temporary capacity for audits, qualification or environmental monitoring campaigns. A valid calibration certificate is important but does not establish that the rented configuration matches the site method. Model, flow rate, impactor, media, recipe and handling must be compatible with the approved SOP.

Changing from 25 to 50 or 100 LPM, changing impactor geometry or changing media may require comparability and change control. Rental should not be treated as automatic equivalence.

Verify equipment and documentation at receipt

Match the instrument serial number to the calibration certificate and handover record. Inspect the housing, battery, charger, cables, impactor and accessories. Perform the approved power-on, zero, flow or functional checks and create a test sample to verify location, timestamp, alarms, report and export.

Any damage, missing component, expired calibration or unstable flow should be documented before the instrument enters a controlled area.

Control impactor, media and cleaning

The impactor or BioCapt model must match the sampler flow. Media size, formulation, lot, growth-promotion status, certificate, expiration and storage should meet the site method. Packaging integrity matters for single-use components.

Cleaning agents, contact time and material compatibility must be defined. Do not spray or immerse electronic components unless permitted. Record cleaning before and after use, especially when moving the instrument between rooms or sites.

Plan battery, logistics, users and data

Calculate route duration including gowning, movement, disinfection, setup, sampling and transport. Confirm battery runtime, charger and contingency. Users should understand recipes, sample identity, flow alarms, invalid samples, plate handling and data export before the audit window.

Agree which reports, raw records and audit-trail information are retained, who reviews them and how data are removed from the instrument after return. Data governance should be part of the rental agreement, not an afterthought.

Authorized support and rental availability

SAO NAM Life Sciences is the specialized PMS Life Sciences representative and exclusive distributor of MiniCapt and BioCapt in Vietnam under the current authorization scope. Local MiniCapt rental is subject to model, calibration status, booking, accessories, consumables, training and agreement. The site remains responsible for SOPs, method suitability, qualification and quality decisions.

Implementation and review controls

A pre-audit rental should be treated as a controlled temporary deployment, not as an informal equipment loan. The protocol should identify sampling locations, flow and time settings, media format, accessories, cleaning agents, power requirements, operator permissions and the records expected at handover. Allow enough time for receipt inspection, functional checks and a representative trial before the audit date. If the sampler is introduced only on the day of inspection, the team may discover missing plates, incompatible media, an expired calibration document or an unapproved cleaning method. A readiness checklist and named equipment owner reduce these avoidable gaps. The final handover should reconcile the sampler, head, power supply, cases and every accessory, while preserving the sampling records and any deviation raised during use. This closes the temporary equipment lifecycle cleanly and provides clear evidence for later quality review.
